Job Role Summary

This position is responsible for supervising Family Support Specialists and/or Family Resource Specialists. Oversee staff who visit at-risk families. Coach, develop, and train staff, including providing feedback and completing quality assurance activities. Review all documentation completed by direct reports. Conduct weekly supervision meetings with direct reports. Complete all required supervision documentation. Monitor caseloads and make appropriate level changes. Complete fill-in visits, drop-by visits, or serve Creative Outreach families as needed. Monitor adherence to Healthy Families America Best Practice Standards and Healthy Families Indiana policies. Fulfill other daily general supervisory duties.

Associated Job Duties

Responsibility 1: Supervise Staff

  • Maintain and approve Kronos time system, mileage, requests for time off, etc
  • Be available to answer questions and provide support to staff
  • Manage staff issues, including challenges with productivity, personality conflicts, family engagement, documentation, etc
  • Provide redirection and performance notices when necessary
  • Work with staff to improve quality of home visits, services to families, and documentation
  • Complete required quality assurance activities, including phone calls, shadowing, and file audits
  • Foster a team environment that reflects the program’s values (HIPEER) with a focus on Diversity, Equity, and Inclusion
  • Report any relevant issues or concerns to Program Director or Assistant Program Directors

Responsibility 2: Case Conference/Staff Support

  • Meet with each direct report a minimum of 1.5-2 hours weekly to case conference and discuss interventions for each family
  • Provide reflective supervision to each direct report to address areas related to the impact of the work on the worker, including supporting appropriate boundaries, encouraging self-care, and monitoring for burnout and compassion fatigue
  • Provide feedback, coaching, and support to direct reports in all aspects of their role
  • Monitor each staff member’s performance at least once monthly
  • Monitor progress of program participants
  • Complete required supervision documentation (Case Review forms and Staff Development notes) each supervision
  • Develop, monitor, and update Family Service Plans
  • Monitor adherence to Healthy Families America Best Practice Standards and Healthy Families Indiana policies
  • Complete fill-in visits, drop-by visits, or serve Creative Outreach families as needed

Responsibility 3: Monitor Staff Paperwork and Data Entry

  • Keep records of services completed by direct reports to track completion of documentation
  • Manage staff caseloads, including assigning, terminating, and changing service levels as required
  • Monitor staff acceptance rates and retention rates
  • Review all documentation completed by direct reports, including entry into the statewide database
  • Provide guidance to staff on corrections with documentation
  • Complete regular file audits

Responsibility 4: Meetings and Trainings

  • Attend weekly leadership team meetings and bi-monthly staff meetings
  • Assist in training new employees as needed in any required topic
  • Participate in Healthy Families trainings for the statewide program
  • Attend regional leadership meetings to receive program information
  • Participate in site visits and accreditation visits

Responsibility 5: Public Health Duties

  • Participate in public health emergency preparedness exercises and in response to public health emergencies, as directed
  • Participate in a minimum of two H.O.P.E. health fair events totaling a minimum of eight (8) hours annually. These events may occur on weekends
  • Protect and maintain confidentiality of each family’s and employee's medical and personal information which may be obtained in the course of provision of care or employment
  • Job duties may require individual to remove confidential information from work place setting to another site in order to provide service. If the information is removed, it must be protected and secured as if the employee were at the office
  • Other duties as assigned

Qualifications

  • Bachelor’s Degree in family counseling, psychology, sociology, social work, nursing, or other related field with coursework related to infant and child development, parent-child attachment, family-centered and strength-based service provision, knowledge of maternal-infant health, and dynamics of child abuse and neglect
  • 3 to 5 years of previous experience of progressively responsible position in a human service field with supervisory and/or clinical experience preferred
  • Experience in providing services to culturally diverse populations and personnel
  • Experience in home visitation with a strong background in prevention services in the 0-3 age population preferred

Licenses/Certifications Required

  • Must have valid Indiana Driver’s License, access to reliable vehicle, current automobile insurance

Knowledge, Skills & Abilities

  • Must have experience with and/or willingness to work with the culturally diverse populations present among the program’s target population, as well as with the program’s diverse staff
  • Must have knowledge of infant and child development
  • Must be proficient with technology
  • Must be willing to be trained on Healthy Families America Best Practice Standards and credentialing process

Working Environment

  • Unconfined sitting, working at computer, attending meetings, etc.; standing and walking; steady use of hands and fingers – data entry; limited lifting and carrying
  • May be exposed to substandard and unsanitary living conditions
  • May be exposed to allergens of all types (i.e. pets, dust, smoke, etc.)
  • Must have valid Indiana Driver’s License, access to reliable vehicle, current automobile insurance
