Office Admin Assistant Location Irvine, CA :

Job Overview We are seeking a highly organized and motivated Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, providing exceptional customer support, and maintaining efficient office procedures. This position requires a proactive individual who can handle multiple responsibilities while maintaining a positive attitude.

Responsibilities

  • Office Maintenance: Ensure the office is clean, well-organized, and maintained to create a productive and professional environment.
  • Communication: Serve as the primary point of contact for both internal teams and external stakeholders. Answer incoming calls and provide necessary support.
  • Facility Coordination: Work with building management, vendors, and service providers to resolve repair and maintenance issues. Maintain records of parking space allocations and usage.
  • Vendor Management: Source and liaise with vendors for office-related services and supplies.
  • Scheduling: Coordinate meetings, appointments, and calendars to support overall team productivity.
  • Supply Management: Monitor inventory and restock essential office and kitchen supplies, including snacks and beverages.
  • Global Team Support: Support on-site activities and facilitate communication with global/overseas teams.
  • Event Planning: Assist in organizing on-site and off-site office events and meetings, including logistics such as catering, materials, and setup.
  • Financial Management: Track office-related expenses, reconcile credit card transactions, and maintain accurate financial records.
  • Catering Services: Oversee daily catering operations and collaborate with vendors on meal planning.
  • Other Duties: Perform additional administrative tasks as assigned.

Skills

  • Strong interpersonal and customer service skills, with a professional demeanor.
  • Ability to work both independently and as part of a team.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office 365 (Excel, Word, Outlook) and Google Workspace.
  • High School Diploma required; Bachelor's degree preferred.
  • Previous experience in administrative roles or as a receptionist is a plus.

Compensation

The pay offered to a successful candidate will be determined by various factors, including education, work experience, location, job responsibilities, certifications, and more. Additionally, IPGenius provides a comprehensive benefits package, all subject to eligibility.
